Members: start with your club
A club is responsible for the records it keeps about its own members, donors and officers. If your concern is about your club's record of you, for example to see it, correct it or have it erased, ask the club's officers first. They can act on it directly in the Platform.
If you cannot reach them, or the club has not answered, write to the Grievance Officer. We will take it up with the club and tell you what happens.
How to file a complaint
Send an email to grievance@cosmoops.com from the address on your account, with:
- Your name and contact details: full name, registered email, mobile number, and your club's name.
- What happened: a clear description, and the part of the Platform it concerns.
- When: the date and time, or dates, it happened.
- Supporting material: screenshots, receipts, invoice references or other evidence.
- What you want: the outcome you are asking for, such as correction, erasure, a billing adjustment or an explanation.
We may ask you to confirm who you are before we act, so that nobody else can read or erase your data.
Types of complaints we handle
1. Personal data and privacy (DPDP Act, 2023)
How personal data is collected, stored, used or erased on the Platform, including requests for access, correction, withdrawal of consent, erasure, and nomination of another person to act for you.
2. Club records and directory visibility
A member's details shown to other members without consent, consent that was not honoured when withdrawn, or a club that has not answered a data request.
3. Service and account issues
Sign-in problems, workspace access, roles and permissions, or outages that were not resolved through routine support.
4. Billing and subscription disputes
Plan charges, duplicate payments or invoice errors that were not resolved through routine support. See our Terms of Service for how billing works.
5. Unlawful content (IT Rules, 2021)
Reports of unlawful, infringing, abusive or harmful content entered or transmitted through the Platform.
6. Privacy Policy violations
Handling of data that you believe breaches our Privacy Policy or our security commitments.
Statutory escalation
